The records chase
Someone asks for bank statements, ID documents and the signed engagement letter, waits, then asks again. By the third “just checking you saw this”, it’s a fee earner doing the chasing, and nobody bills a minute of it.
AI Readiness Assessment · Professional services
One 45-minute call with the Codehawks team, then your plan within 48 hours: 3 to 7 fixes for records chasing, onboarding packs and status emails, each with a named tool, its monthly cost and the hours it saves per week.
Every hour recovered is an hour someone can bill. If we can’t find at least 5 hours a week, we refund the full fee.
Satisfaction guaranteed. From the team behind agentchecker.ai.
The problem
The time goes in short tasks that repeat every day: retyping information, chasing replies, writing up notes, filing documents. The assessment finds these tasks in your business and puts a fix, a cost and an hours figure against each one.
Someone asks for bank statements, ID documents and the signed engagement letter, waits, then asks again. By the third “just checking you saw this”, it’s a fee earner doing the chasing, and nobody bills a minute of it.
Every new client means an engagement letter, an AML and ID check, a records request and a file set up in three systems, with the same details retyped into each. It takes an hour or two per client before any billable work starts.
Every status email means opening the file, checking the stage and writing a careful reply. None of it is chargeable, and the interruption cuts into the billable work around it. That’s where WIP write-offs come from.
How it works
The whole process takes about a week. Your time in it: two calls and a review, about two hours in total.
01
A short video call. We check the assessment fits your business, you check we know what we’re talking about. If it’s not for you, we say so on the call.
when: day 1 · free
02
The Codehawks team walks through how your business actually runs. Who does what, which tasks repeat, where the hours go. No preparation needed beyond knowing your own week.
when: day 2 to 3 · 45 minutes
03
We analyse the call and build your plan: 3 to 7 fixes, each with a named tool, its monthly cost, the setup effort and the hours saved per week. Written to be implemented in 3 to 4 days.
when: 48 hours after the call

We walk through the plan together, agree the recoverable hours and answer questions. On Plus, we then set up your top 2 fixes with you and stay on email for 30 days.

The deliverable
Every fix names the tool, its monthly cost and the hours it saves per week.
If you later want anything built, the plan doubles as the spec, so there is no second discovery stage and no second scoping fee.
Sample prescription
| The pain | Clients send bank statements and receipts as PDFs, photos and the occasional shoebox. Someone keys the figures into the ledger line by line. About an hour a day across the practice, done by people qualified to do far more. |
|---|---|
| The fix | A capture tool such as Dext or AutoEntry reads the documents, extracts the figures and posts them to the ledger for review. Clients photograph receipts from their phone instead of saving them up. Connects directly to Xero, QuickBooks and Sage, and takes about a day to set up and roll out. |
| Indicative cost | From £25 a month. |
| Hours back | About 4 a week across the practice. |
This is the format you receive, shown with a made-up example. The pains, tools and numbers in your plan come from your own assessment. For scale: 4 recovered hours a week at a £100 charge-out rate is over £20,000 a year of billable capacity.

If our assessment can’t identify at least 5 hours a week of recoverable time in your business, we’ll refund the full fee. There is no claim form and no negotiation.
For scale: 5 hours a week at a blended staff cost of £25 to £35 an hour is roughly £6,500 to £9,000 a year.
Recoverable time is agreed with you in the review meeting, based on your own estimates of task frequency and duration.
FAQ
Nothing from your client files. The assessment works from one recorded call about how the practice runs: who does what, which tasks repeat, how long they take. We need no client names, no ledgers, no matter files and no privileged material.
The recording and our notes are handled under UK GDPR, used only for your assessment, and deleted on request. We’ll sign an NDA before the call if you want one.
Where a prescribed fix would touch client personal data, a document portal or an ID check for instance, your plan says so, names where that tool stores its data, and flags anything your privacy notice or engagement letters would need to reflect.
Yes, that’s the point of the 45-minute call. We map what you already run, whether that’s Xero, Sage, IRIS, QuickBooks, Clio or LEAP, and prescribe fixes that connect to it rather than replace it.
Most practice tools have ready-made connections, and we’d rather prescribe a £25-a-month add-on than a migration. If a fix would mean replacing your practice management system, it doesn’t go in your plan.
Where a fix touches a regulated step, AML and ID checks for instance, we prescribe established providers already used across the profession, and the plan states plainly what remains a human decision.
A chat window helps the person typing into it. It doesn’t move data between your systems, chase your invoices or file your documents. Most of the recoverable hours sit in the repeating work between your tools, and that’s where the assessment looks.
Where ChatGPT already covers a task well, we’ll say so and move on. You won’t get a plan that prescribes what you already have.
Yes. Every fix is chosen for the team you have. Most are off-the-shelf tools with ready-made connections between the systems you already use, set up by following steps rather than writing code.
The plan gives you the setup order and the effort involved for each fix, and on Plus we set up your top 2 fixes with you.
The assessment itself needs no customer or client data. We work from one recorded call about how your business runs: your processes, your tools, and your estimates of the time each task takes.
Everything you tell us stays confidential and is handled under UK GDPR. Where a prescribed fix would touch personal data, your plan says so and notes where that tool stores it.
Then you don’t pay. That is the 5-hour guarantee: if our assessment can’t identify at least 5 hours a week of recoverable time in your business, we’ll refund the full fee. There is no claim form and no negotiation.
We’d also rather tell you on the free discovery call that the assessment isn’t a fit than take a booking we can’t stand behind.
Most clients can. The plan is written to be implemented in 3 to 4 days with off-the-shelf tools, in a set order, starting with the quickest win.
If you’d rather have help, Plus includes hands-on setup of your top 2 fixes and 30 days of email support. And where a fix genuinely needs custom work, Codehawks builds software, from £2,500. That part is always optional. The plan works without us.
About Codehawks
The assessment is run by the Codehawks team, a UK software lab. We ship our own products, including agentchecker.ai, which tests whether AI agents can buy from your website.
Before we build anything for a client, we run this same diagnosis first. The assessment is that scoping stage, sold on its own.
We are a software company recommending software, so the plan is written to be independent of us:
